Hayy Makers Membership Agreement

Introduction

Hayy Makers, a creative makerspace within Hayy Jameel (operated by Art Jameel), provides members with access to specialised studios, tools and collaborative workspaces. This membership agreement outlines the terms and conditions governing each member’s use of Hayy Makers facilities (“Facilities”). By signing this agreement, you (“Member”) accept these terms and commit to fostering a safe, respectful and inclusive creative community.

Membership Categories and Duration

             Maker’s Day – one‑time access up to six hours. Space must be pre‑booked.

             Maker’s Week – access for up to three days; additional days may be booked onsite if space is available.

             Maker’s Month – four weeks of access with at least three guaranteed days per week.

             Master Maker (Annual) – one‑year membership providing at least 120 days of access (approximately three days per week).

Eligibility

Members must be at least 18 years old; individuals under 18 require a parent or legal guardian to co‑sign.

Orientation and Health & Safety

All members must complete a mandatory health & safety orientation session before accessing any zone. Orientation sessions are scheduled regularly, and members must sign this membership agreement and a health & safety disclaimer.

Member Contributions and Workshops[MA1] [z2] 

Master Maker members agree to contribute to the Hayy Makers community by hosting five skills‑sharing workshops each year. This commitment applies to informal workshops only and does not cover formal courses or masterclasses.

Shared Member Benefits

Members enjoy the following amenities:

             Free Wi‑Fi, access to tools and machinery, and consumables (subject to availability).

             24/7 booking system for reserving equipment and spaces.

             Free access to workshops (subject to availability) and technical support.

             Free access to co‑working space for collaborative or solo work.

             Complimentary coffee where available.

             Master Makers receive a starter kit in their welcome pack containing one block of clay and a PLA filament roll; they have free digital fabrication equipment usage and pay only for materials, and they may access other zones subject to availability.

Facility Use and Zone‑Specific Policies

Members agree to abide by operational, health & safety and usage guidelines applicable to each zone. Key points include:

Ceramics Studio

             Only trained and authorised members may use equipment such as kilns and pottery wheels.

             Master Makers receive one block of clay as part of their starter kit; subsequent materials must be purchased.

             Members must clean workspaces, sign in/out, use only approved materials and schedule kiln firings in advance.

             Food is not permitted, and only drinks with secure lids are allowed.

Woodworking Studio

             Follow colour‑coded rules: green‑coded hand tools are open to all; amber/red‑coded power tools and machines require qualification or technician supervision.

             Members may bring their own wood or order wood through Hayy Makers and pay for it. Basic consumables such as screws and nails are provided.

             Personal protective gear (safety glasses, ear protection, dust masks) and appropriate clothing are required.

             Tie back hair, avoid loose clothing and jewellery while using equipment.

             Only authorised and trained members may operate machinery; report any faults immediately.

             Food is not permitted, and only drinks with secure lids are allowed.

Co‑working Space

             Hot‑desking: clear your workspace after use and do not leave belongings unattended.

             Food is not permitted; drinks must have lids.

             Members are responsible for their own property; Hayy Makers is not liable for loss or damage.

             Ensure emergency exit routes remain clear and follow fire‑safety procedures.

AV and Photography Studios

             Access is restricted to members who have completed the required training.

             Secure cables and avoid trip hazards; food and drink are prohibited in studio areas.

             Use equipment properly; do not force or mishandle delicate gear. Maintain safe audio levels and return all equipment to its designated storage area after use.

             Master Makers will be assigned a user account on the AV computer. Hayy Makers is not liable for loss or corruption of files stored on the AV computer. Other members must use their own storage devices with guest profiles that are deleted when membership ends.

Photography Studio

 

             Access is restricted to members who have completed the required training.

             No food or drinks are allowed; ensure cables are secured and keep the area free of trip hazards.

             Handle lighting equipment carefully – allow lights to cool before moving them and use sandbags to stabilise stands and backdrops.

             Do not touch lenses or camera sensors; contact staff if cleaning is needed.

             Make sure to copy files from the memory cards to your personal storage, as the cards will be erased after each use. Hayy Makers is not responsible for any loss or corruption of image files.

Digital Fabrication Studio

             Training and authorisation are mandatory; machines must not be left unattended.

             Tie back hair, avoid loose clothing or jewellery, and ensure ventilation is active when operating equipment.

             Allow prints and machines to cool before removal and perform any necessary file preparation or test cuts.

             Master Makers pay only for materials; equipment access is otherwise free for them.

Booking and Usage Limits

Memberships begin on the orientation date specified at purchase and expire at the end of the corresponding duration; holiday closures apply. Unused days do not roll over, except for week and month members with advance notice. Members must book space and equipment at least 48 hours in advance via the online system, by phone or in person, and respect the minimum guaranteed access for their membership type.

Member Conduct and Responsibilities

Members agree to:

             Use the Facilities in accordance with this agreement and all posted policies.

             Maintain clean, safe shared spaces and not damage equipment.

             Respect the privacy and property of others.

             Carry their membership identification at all times.

             Operate only equipment for which they have been trained.

             Report any injuries, accidents or safety concerns immediately.

Harassment, discrimination or disruptive behaviour will not be tolerated. Hayy Makers reserves the right to limit access or terminate membership for violations.

Fees and Payment

Members agree to pay the applicable fees according to their selected membership package. Pricing encourages longer commitments; annual rates are significantly discounted relative to daily or monthly rates. Fees may be amended periodically.

Intellectual Property

Members retain ownership of any intellectual property created using the Facilities but are responsible for protecting it. Hayy Makers may request permission to showcase members’ projects in promotional materials and may include general descriptions of member activities when reporting on the makerspace.

Media Consent

By signing this agreement, Master Makers consent to the use of their name, likeness and a brief profile on the Hayy Makers website and social media channels. Members who prefer not to be included may opt out by notifying staff in writing.

Liability Waiver and Indemnity

Using the Facilities involves risks, including slips, falls, cuts, burns, exposure to dust, fumes, noise, electrical hazards and other dangers inherent to makerspace activities. By signing this agreement, Members acknowledge that:

             They assume all risks associated with use of Hayy Makers facilities and equipment.

             They release and hold harmless Art Jameel, its employees and affiliates from any claims, injuries, damages or losses arising from their participation.

             They agree to indemnify the organisation against claims, damage or loss resulting from their misuse of facilities or breach of this agreement.

Cancellations and Refunds

Refunds for cancelled memberships must be requested in writing or by email or in person. The cost of materials used by the member will be deducted from the refund amount.

 

Complaints

This procedure applies to all members and visitors of Hayy Makers regarding concerns related to services, facilities, staff conduct, safety, or any other aspect of the Makerspace.

1.        How to Submit a Complaint

·       Complaints must be submitted in writing via:

o   Email to [email protected] 

o   A physical complaint form available at the reception desk.

o   The online complaints submission form on the Hayy Jameel website - www.hayyjameel.org

·       Complaints should include the following details:

o   Full name and contact information of the complainant.

o   Description of the issue, including date, time, and relevant individuals involved.

o   Any supporting documents or evidence.

o   Desired resolution or outcome.

2.        Complaints Handling Process

·       Acknowledgment:

o   Complaints will be acknowledged within 48 hours of receipt.

·       Investigation:

o   A designated team member will review the complaint and may request further details if necessary.

o   Investigations will be completed within 7 business days where possible.

·       Resolution:

o   The complainant will be provided with a response detailing any actions taken or solutions proposed.

o   If additional time is needed, the complainant will be informed of the progress.

·       Escalation:

o   If the complainant is dissatisfied with the resolution, they may escalate the complaint to senior management for further review.

o   If the issue remains unresolved, external mediation or regulatory bodies may be consulted where applicable.

3.        Confidentiality & Non-Retaliation

·       All complaints will be handled with strict confidentiality, ensuring the complainant’s identity is protected where possible.

·       No complainant shall face any form of retaliation or disadvantage for raising a concern in good faith.

Confidentiality 

Members shall not disclose, share, reproduce, or use any confidential information obtained during their use of the Facilities, including but not limited to: personal data of other members, technical processes, project designs, or business methods. 

Members may not take photos, videos, or recordings of others' work or activities without prior consent. This obligation shall survive the termination of membership.

Termination

Hayy Makers may terminate this agreement and revoke membership immediately if a member violates these terms or endangers others. Upon termination, the member must remove personal possessions within a reasonable time; uncollected items may be disposed of. Fees are non‑refundable.

Governing Law

This agreement shall be governed by and construed in accordance with the laws of the Kingdom of Saudi Arabia.
